GSTR-1 filing for small shops, explained simply

A plain-English walk-through of GSTR-1 for retailers and traders — what it is, when to file, and the exact reports to export from your billing software.


If you raise GST invoices, you have to file GSTR-1 — the return that reports your outward supplies (sales) to the government. For most small shops it sounds scarier than it is. Here's the whole thing in plain language.

What GSTR-1 actually is

GSTR-1 is a monthly or quarterly summary of every sales invoice you issued — who you sold to, how much, and how much GST you collected. The government uses it to match your sales against your buyers' purchase claims.

When do you file it?

  • Turnover up to ₹5 crore: you can file quarterly (under the QRMP scheme).
  • Turnover above ₹5 crore: you file monthly, by the 11th of the next month.

What you need before you start

  1. Your GSTIN and portal login
  2. All sales invoices for the period
  3. Credit/debit notes issued
  4. B2B vs B2C split (invoices to registered businesses vs consumers)

The easy way: export from your billing software

Doing this by hand in Excel is where mistakes creep in. Good billing software already has your invoices, so it can produce a GSTR-1-ready report in a click.

Common mistakes to avoid

  • B2B/B2C mix-ups — a sale to a registered dealer needs their GSTIN.

The bottom line

GSTR-1 is really just "a tidy list of your sales." If your billing is clean, the return is a formality. If you're still doing it in Excel every month, that's the sign it's time for software that files it for you.
